What is notarization?

A notary public is a state-commissioned official whose job is to verify identity, witness a signing, and apply an official seal and signature. That simple act turns a plain document into one that courts, government agencies, universities and foreign authorities are willing to trust. In Florida, notaries are commissioned by the Florida Department of State.

The best part: notarization no longer means a trip across town to find a notary. Remote Online Notarization (RON) is fully legal in Florida — the notarial act takes place in a short, secure video session and carries exactly the same legal weight as the traditional ink-and-paper version. We handle that entire session for you.

Notarizing a translation is our specialty. We notarize the certified (sworn) translation we prepare, so the finished document is ready for whoever is asking for it — an immigration officer, a court clerk, an admissions office or an authority overseas.

Not sure if you need it? Ask the person requesting your document whether they need it certified or notarized — then tell us, and we’ll set it up exactly right the first time.

Certification, notarization, apostille — what’s the difference?

These three get mixed up constantly. Here’s the plain-English version, from the base layer up.

Certified translation

Our translator’s signed statement of accuracy, on company letterhead with our seal. This is what USCIS and most agencies accept — the base product for any official translation.

Notarization

A notary public attests the signing on top of the certification. An added layer of trust that certain courts, agencies and authorities specifically require.

Apostille

State-level authentication for documents used abroad, under the Hague Convention. Notarization is its precursor — the step that comes first. See our apostille service.

The short version: certification makes a translation official, notarization adds a notary’s attestation, and an apostille takes it international. Not sure which you need? Tell us who’s asking for the document — you never have to guess.

  2. 2 We translate and certify A professional translator prepares a word-for-word translation on our company letterhead, reviewed by a proofreader and issued with a signed and stamped Certificate of Translation Accuracy. We strive for the highest accuracy rates in the industry.
  3. 3 We notarize online Our certified translator appears before a licensed Florida notary in a short, secure video session (Remote Online Notarization) to notarize the translation. You do not need to attend, sign anything in person, or find a notary yourself — we handle the whole session.
  4. 4 Delivered to you You receive the notarized document as a digital copy in your order, and a physical copy by tracked mail when you need originals — ready to present to whoever asked for it.

Remote Online Notarization (RON), explained

Remote Online Notarization is exactly what it sounds like — a fully valid notarization performed over a secure video connection instead of across a desk. Florida was one of the states to embrace it early, and today a notarization performed by a Florida-commissioned online notary is recognized in all 50 states and, with an apostille, around the world.

It is not a shortcut or a loophole. RON is often more secure than traditional notarization: the signer’s identity is verified electronically, the session is recorded and the finished document is sealed with a tamper-evident digital certificate that instantly reveals any later change. The result is a notarized document that is easier to verify and harder to forge than paper.

For you it simply means convenience. There is no office to visit and no notary to locate — because we notarize the certified translation we prepare, our own certified translator handles the online session, and the notarized document lands in your inbox and, when you need it, your mailbox.

Documents we notarize every day

If an authority has asked you for a notarized translation, chances are we’ve prepared one just like it. These are the ones our clients bring us most:

Immigration & USCIS documents

Birth certificates Marriage certificates Divorce decrees Police/background checks Affidavits of support Personal declarations

Legal & court documents

Powers of attorney Affidavits & sworn statements Court filings & judgments Consent & authorization letters Contracts & agreements

Academic documents

Diplomas & degrees Academic transcripts Enrollment & completion letters Professional licenses

Business & corporate documents

Corporate resolutions Certificates of incorporation Commercial agreements Bank & financial letters
Don’t see your document? That list is only the beginning. Start an order or request a free estimate and we’ll confirm yours right away.

Why people get their documents notarized

Notarization is almost always a means to an end — a visa, a court case, a school place, a deal. Whatever yours is, we’d love to help it move forward.

Immigration & USCIS

When an immigration officer, embassy or consulate asks for a notarized translation rather than a plain certified one, we add the notary layer so your filing is not sent back for a technicality.

Courts & legal matters

Courts, attorneys and title companies often require notarized documents — affidavits, powers of attorney, sworn statements — before they will accept them into the record.

Universities & licensing

Admissions offices and licensing boards frequently ask for a notarized translation of your diploma, transcript or license before they will evaluate your credentials.

Documents going abroad

Notarization is the first step toward an apostille. If your document is headed to another country, we notarize it and can carry it straight through to apostille — one order.

Business & contracts

Companies notarize corporate resolutions, agreements and financial letters for banks, partners and government filings, at home and overseas.

Property & personal affairs

Real-estate authorizations, consent letters and personal declarations usually need a notary's seal before anyone will act on them.

Notarization questions, answered

What is notarization and why do I need it?

Notarization is a state-commissioned notary public verifying identity and witnessing a signing, then applying an official seal and signature. It adds a layer of trust that makes a document acceptable to courts, government agencies, universities and foreign authorities. You need it whenever the party receiving your document specifically asks for a "notarized" version.

Is notarization the same as a certified translation?

No — they are different layers. A certified (sworn) translation is our translator's signed statement of accuracy with our company seal, and it is what USCIS and most agencies accept. Notarization adds a notary public who attests the signing on top of that. Some authorities ask only for certification; others require notarization too. Tell us who is asking and we set it up correctly.

Do I have to go to a notary or appear on a video call?

No. Because we notarize the certified translation we prepare, our own certified translator appears before the notary in the video session — not you. There is nothing for you to sign in person, no appointment to book, and no notary to hunt down. You simply upload a scan and receive the notarized document.

Is online notarization legal?

Yes. Remote Online Notarization (RON) is fully legal in Florida, where our notaries are commissioned by the Florida Department of State, and notarizations performed by a commissioned online notary are recognized across all 50 states. The online notarial act carries the same legal weight as a traditional ink-and-paper one.

What exactly gets notarized — my original or the translation?

We notarize the certified (sworn) translation we produce. Your original document never leaves your hands — a scan or a clear photo is all we need to get started.

How fast can I get my document notarized?

We always strive to be the fastest notarization service in Florida — with our express option your notarized translation can be ready as fast as the next business day. Start an order and you will see the exact completion date before you pay.

Do you notarize translations in any language?

Yes — we work with professional translators in 100+ languages, and notarization is available for all of them. Whether your document is in Spanish, Portuguese, Arabic, Chinese, French or beyond, we can translate, certify and notarize it.

Can I use my own notary?

Yes. If you already work with a registered Remote Online Notary Public (RON), you can provide their email during checkout and we will coordinate with them; otherwise our licensed Florida notary handles everything for you.

Is notarization the step before an apostille?

Usually, yes. For a document going abroad, notarization comes first and the apostille is issued on top of it. If your document is international, we can take it all the way through — see our apostille service and we will handle both in one order.

How much does notarization cost?

We strive to offer the best quality at the most affordable prices in Florida. Pricing depends on the number of documents and the speed you choose — start an order or use our free estimate form and you will see your exact price instantly, with no obligation.
